Types of meetings

The OARC has four different types of meetings:

  • Informational Meetings (or regular member meetings)
  • Board Meetings
  • Annual Meetings (formerly called Annual General Meetings)
  • Special Meetings (formerly called Special General Meetings)

Each of these types of meetings is described below.

Informational Meetings

Regular informational meetings are held on the second Wednesday of each month, except July and August. These meetings used to be held in the Honeywell Room, the Richmond Room, or the Colonel By Room on the 2nd floor of Ottawa City Hall at 111 Lisgar Street, Ottawa. Meetings commence at approximately 19:30 hours local time. Guests are welcome.

Unfortunately, the City of Ottawa has still NOT re-opened room bookings for evening meetings. When possible, we will hold in-person meetings at different locations with a Zoom live feed available for those who cannot attend in person. Some meetings may be held on Zoom only.

Other Meetings

  • Board Meeting
    • Board meetings are held whenever and wherever the board wishes.
    • Only board members and invited guests may attend
    • Minutes of the meeting are required
    • The board votes on any resolutions that have been presented
  • Annual Meeting (formerly called Annual General Meeting)
    • The Annual Meeting (AM) is held once per year as required by law
    • The Annual Meeting is normally held on the second Wednesday in June and replaces the “regular” informational meeting on that date.
    • Minutes of the AM are required
    • Members in good standing may vote at the AM
    • Members elect the board that will serve in the coming year
    • Members vote on any resolutions that have been properly added to the agenda
    • All are welcome to the AM, but non-members may only act as observers
  • Special Meeting (formerly called Special General Meeting)
    • A Special Meeting (SM) is held as required by law
    • Special meetings are held when required at a venue in or near Ottawa.
    • Minutes of the meeting are required
    • Voting members in good standing may vote at the SM
    • Members vote on any resolutions that have been properly added to the agenda
    • All are welcome to an SM, but non-members may only act as observers
