Our Amateur Radio club thrives because of its dedicated volunteers. From emergency communications to educational workshops, our club plays a vital role in the community. But to continue growing and offering these opportunities, we need your help.

How you can help

Even a few hours of your time can make a big impact. There are short-term and long-term volunteer roles. No experience needed for any of these roles – we’ll train you and stick with you while you learn the ropes and beyond.

VOLUNTEERS NEEDED IMMEDIATELY

OARC Carp Hamfest on-site volunteers (Many vacancies)

We need a small army of volunteers for the event itself (the Saturday after Labour Day):
– venue set-up (afternoon of the day before)
– road sign set up and take down
– parking lot and tailgate relations
– vendor registration
– front-door ticket seller
– inside vendor relations
– photographer
– talk-in (on-air notice on local repeaters)
– announcer
– OARC membership and extras table
– venue tear down and clean up

Monthly meeting manager (Vacant)

– Identify presentation topics and recruit and orient presenters
– Draft the annotated agenda for each meeting for use by the M.C.
– Coordinate a small team of meeting volunteers to do the following:
— Set up the meeting space with tables and chairs
— Set up the audio-visual equipment (screen, projector, laptops, microphone, etc.)
— Host the online portion through MS Teams (admit attendees, manage the chat, etc.)
— Help with refreshments set up and clean up
— Greet and register meeting attendees upon arrival
— Reset the meeting space by removing tables and chairs, packing up a/v equipment

LONG-TERM VOLUNTEER ROLES

Long-term volunteer roles are part of the Club’s management team. These volunteers will be invited to participate in four Board meetings per year. Contact the Prez to discuss these roles.

Education coordinator (Filled)

– Work closely with the leads of OARC Educational offerings: courses, workshops, and exams
– Contribute content to operational plan, website, newsletter, and social media
– Ensure logistical and volunteer support for educational offerings
– Respond to inquiries about educational offerings
– Contribute to evaluation of educational offerings

Equipment coordinator (Vacant)

– Work closely with the leads of OARC Equipment working groups: repeater upgrade, beacon maintenance, etc.
– Contribute content to the operational plan, website, newsletter, and social media
– Ensure logistical and volunteer support for equipment work
– Respond to inquiries about equipment
– Contribute to evaluation of equipment work

Activities coordinator (Vacant)

– Work closely with the leads of OARC Activities: Club Activities and Community Events
– Contribute content to the operational plan, website, newsletter, and social media
– Ensure logistical and volunteer support for activities
– Respond to inquiries about activities
– Contribute to evaluation of OARC activities

Partnerships coordinator (Filled)

– Liaise with the lead contact(s) at each Partner organization
– Contribute content to the operational plan, website, newsletter, and social media
– Ensure logistical and volunteer support for Partnership Activities
– Respond to inquiries about Partnerships
– Contribute to evaluation of Partnerships

Membership coordinator (Vacant)

– Recruit and retain members
– Monitor membership payments received through Zeffy
– Respond to inquiries about membership or renewal
– Ensure that members have a smooth and positive experience when they join or renew
– Contribute content to operational plan, website, newsletter, and social media
– Contribute to evaluation of membership approach

Webmaster (Filled)

– Add approved content to the website according to existing design and navigation
– Maintain the website, including troubleshooting any problems with the IT manager
– Assemble the monthly OARC Newsletter with approved content and send out on schedule

Communications coordinator (Filled)

– Recommend and implement communications strategies and plans
– Provide creative direction, writing and editing content
– Oversee the website, newsletter and social media
– Respond to communications inquiries, including media
– Contribute to evaluation of OARC communications approach


SHORT-TERM VOLUNTEER ROLES

Short-term volunteer roles are small, often one-time opportunities to help out. Contact the Prez to discuss these volunteer roles.

Notetakers

For Club activities, community events, courses and workshops, we like to write up a report and posted it on the OARC Website. Notetakers capture details of events (e.g., number of participants, highlights, interesting details). They also support photographers at Club activities by noting the name and callsign of any people photographed.

Photographers

For Club activities, community events, courses and workshops, we like to include up to 10 photos in the report posted on the OARC Website. Photos should ideally capture OARC members and other Amateur Radio operators close up, preferably with their equipment in view.

If you are planning to take some photos, we prefer files that are “ready for the web”, when possible. This mean .png files of approximately 200 KB with a 16:9 aspect ratio. Feel free to send photos that don’t meet the criteria and we will adjust them.

Workshop leaders

OARC workshop leaders are responsible for planning, organizing, and leading hands-on workshops that may include Get-on-the-Air (GOTA), soldering skills, kit building, pico balloon assembly, Fox hunting and Geo Foxing Activities, and more. Leaders will:
– Provide input to the workshop plan
– Manage tools, kits, and supplies
– Ensure set-up and tear-down / clean up of workshop space
– Facilitate the workshop (teach, guide, supervise, demonstrate)
– Create a welcoming and inclusive environment
– Collect feedback for future workshop improvements
– Send notes (e.g., number of participants, highlights, interesting details) for the web report after the workshop is concluded.

OARC members who are experienced Amateur Radio operators with strong technical skills, a passion for teaching, and the ability to engage people of all backgrounds and skill levels should Contact the Prez to discuss leading one or more OARC workshops.
